Job Overview
The Office Administrator, reporting to the Office Manager, manages our Durham office administration and procedures to ensure a smooth running, well-organized office environment. The successful candidate is an energetic, versatile, detail-oriented, professional, can wear multiple hats and is experienced in handling a wide range of administrative duties and is able to work independently with little or no supervision. This is a part-time on-site with work hours of Tuesday, Wednesday and Thursday from 8 a.m. to 2 p.m. though office events, meetings, repairs, etc. may occasionally require an earlier start or later departure time. The role is an hourly position and is not benefit eligible.
This position will be based in Durham, NC. (Part-time 8:00am-2:00pm Tuesday – Thursday) and will be payrolled through a staffing agency.
Responsibilities and Duties
- Responsible for ensuring office operations and procedures are streamlined and organized, and that clerical functions are properly executed and monitored.
- Partners with Human Resources to ensure a smooth onboarding experience for new hires including assigning parking passes, office badges, etc.
- Coordinate scheduling of on-site candidate interviews as well as any interview travel to ensure a positive candidate experience.
- Responsible for business safety programs in coordination with property management company. Ensures all safety items are in place and a robust and streamlined emergency response process is in place. Tracks any workplace issues and maintains OSHA logs for office.
- Point person for maintenance, mailing, shipping, supplies, equipment, bills, and day to day tasks.
- Assists the Office Manager with planning for all Board meetings, board member travel arrangements, meeting logistics, etc. to ensure board meetings run smoothly and efficiently.
- Provide general support to visitors, managing visitor access and coordinating meeting set-up and take-down. Answers the main phone line and directs callers as needed.
- Manage relationships with building vendors, service providers, and landlord, ensuring that all facilities-related items are invoiced and paid on time.
- Assist with planning and executing large in-office team meetings and local company events. Technologically savvy to manage conference room technology for large events.
- Coordinates team lunch for in-office days, including set-up and take-down.
- Create, foster and grow a fun, collaborative office culture that reflects the values of the organization.
Education and Required Experience
- Proven office management or executive assistant experience.
- Bachelor's degree in a relevant field; or equivalent combination of education and experience.
- Knowledge of office management responsibilities, systems, and procedures as well as emergency response protocols.
- Excellent time management skills and ability to multitask and prioritize work.
- High-level attention to detail and excellent problem-solving skills.
- Excellent written and verbal communication skills.
- Experience interfacing with internal and external leadership.
- Self-motivated and customer service driven.
- Strong organizational and planning skills.
- Technologically savvy with proficiency in Microsoft Office, PowerPoint and Excel as well as strong IT proficiencies to support team meetings, conference room set-ups, board set-ups, etc.
- Ability to work effectively and positively with a broad range of people in an office environment.
